Description

Duties:

  • We currently have an exciting opportunity for a Senior Administrative Assistant to support the Global Commercial Strategy team.
  • This role reports to the Executive Director of the GCS team.
  • This role is primarily based in our Santa Monica, California offices with some flexibility for selected hybrid workdays out of the office.

 

Key Responsibilities:

  • Provide administrative support, including calendar management, expenses, and travel
  • Plan and organize internal and external meetings, ensuring timely preparation of agendas and meeting minutes
  • Organize and coordinate departmental sign-ups for conferences, symposia and local / international congresses
  • Assist in preparation of PowerPoint presentations on occasion
  • Additional duties when required

 

Qualifications

  • At least 4-6 years of relevant office administrative experience
  • Strong attention to detail and is organized with a systematic approach
  • Resilience under pressure
  • Ability to prioritize information and meetings on behalf of team members / senior leadership
  • Proven administrative experience within a fast-paced organization
  • Fluency in written and spoken English
  • Experience with data management and MS Office (e.g., Excel, PowerPoint)
  • Willingness to help and learn with a team player mentality
  • Ability to drive tasks and deliverables to completion with initial direction provided
