Actual Job Title: Administrative Assistant

Location:  Overland Park, Kansas, 66211

Hours- Candidates should be flexible to work a 7.5-hour shift between 8:30 AM – 4:30 PM with a half hour lunch. Fulltime onsite, 5 days a week.

Possibility of Conversion to Full-Time: Open for extension of job assignment, possible conversion to fulltime with the right candidate.

 

 

Position Summary

  • We are seeking a seasoned administrative professional to support a dynamic team based in Overland Park.
  • This role combines both strategic insight and hands-on execution, serving as a key partner in daily operations and broader departmental initiatives—including high-impact event planning.
  • The ideal candidate will foster strong relationships across all organizational levels, especially with senior leadership, while maintaining a professional and welcoming work environment.

Role Requirements:

  • Minimum 3-5 years’ experience in a relevant role (in an office/admin setting or in the financial services industry) Candidates with previous work experience in the Financial services industry will have first preference.

  

Key Responsibilities

 Front Desk & Visitor Experience

  • Welcome and host guests, vendors, clients, and visitors—creating a warm and professional first impression.

 

Telephone & Communication Support

  • Manage incoming calls and messages, ensuring efficient routing and issue resolution.
  • Maintain and update call rotation settings and troubleshoot Jabber-related queries.

 

 Administrative Coordination

  • Support team and leadership calendars for seamless scheduling and activity alignment.
  • Organize meetings, travel arrangements, and conference calls—including equipment setup.

 

 Skills & Expertise

  • Outstanding organizational skills and meticulous attention to detail.
  • Excellent communication—written and verbal—with polished interpersonal finesse.
  • Ability to prioritize effectively and manage multiple tasks with urgency.
  • Sound judgment, discretion, and professionalism in sensitive situations.
  • Proven experience managing administrative projects and tasks independently.

 

Technical Proficiency

Microsoft Office Suite:

  • Word for polished communications and reporting
  • PowerPoint for professional presentation creation
  • Excel for spreadsheeting, data and expense tracking, and event planning
  • Foundational data formatting and analysis experience.

 

 Experience

  • Minimum 2 to 5 years of administrative support experience in a corporate setting.
  • Prefer candidates that are comfortable working with AI to better streamline processes.

 

Deal Breakers:

  • Candidate must have previous work experience in a professional corporate environment.
  • Candidate must be able to multi task and prioritize workload expectations.
